OPERATIONS

Program Managers are responsible for managing the execution of all activities related to our Client’s program once a contract has been signed all the way through processing Client’s final closing invoice.

Specific pre-program/event responsibilities include: staffing and transportation coordination; entertainment and vendor management, including securing deposits and final payments; manage any additional services or program changes contracted with Client; create Scope of Services, aka Program Overview, for Client and Hotel CSM; coordinate the load-in and load-out production schedule with Production & Design team and venue; manage and reconcile petty cash and Hospitality Staff’s Program Info packets in advance of program

During the program/event, Program Managers will attend client/hotel pre-con meetings or meet with client separately prior to actual guest arrivals to review all details and logistics of the program; supervise Staff and Transportation contracted throughout the program; advance any restaurants / venues / tours / excursions / teambuilding activities, etc.; Provide on-site management of staff, vendors and entertainment; oversee all guest activities and services contracted through Advantage DMS; work with the Sales Manager on any Client changes or issues that may significantly impact the program.

Post-program activities include: Analyzing and reconciling the client’s Closing Invoice; processing Hospitality staff paperwork; reconciling program P&L Job Ledgers provided by Accounting to meet profitability objectives.

Ideal candidates for Program Managers will have confident, make-it-happen attitudes, be very detail-oriented while also being masters of the multi-task. They have a single-minded focus on delivering excellence in program implementation and client satisfaction. Program Managers are expected to available to the client 24/7 during their program, this may include weekends and holidays, depending on program dates.

PRODUCTION & CREATIVE DESIGN

The Production & Creative Design department is responsible for developing, creating and producing the Décor elements of our Events.

Event Production Crew are involved in time-sensitive, on-site set installation and post-event strike dismantling and removal of event décor, packing them safely for transportation and storage.

Event Production Crew must feel comfortable in a warehouse setting; organizing, prepping, some tool use, lifting and climbing.

Experience with loading and unloading vehicles, warehouse, venue, hotel loading dock and banquet set protocol preferred. 

Event Production Crew should be detailed oriented, positive, solution-oriented, flexible and able to work in fast-paced environment. Must have the ability to follow instructions and diagrams accurately.  Strong team collaboration skills with a positive and adaptable attitude required. 

When on-site, Production Crew serve as representatives of Advantage DMS with hotels & venues, vendor partners, clients and our co-workers.

Floral Assistants should have some experience and knowledge of floral design. A basic understanding of fresh flower prep and maintenance. Creativity and knowledge of floral creative trends beneficial.

Must be comfortable in a warehouse setting and assist with prepping and packing floral and greenery pieces for delivery to events. 

Positions within the Production & Creative Design department are Independent Contractors.  Hours vary and may require working nights, weekends or holidays.  Positions are seasonal. High season is January to May and September to November.

HOSPITALITY & Event STAFF

Hospitality & Event Staff are KEY members in the success of our Client’s programs. Our objective when hiring Hospitality & Event Staff is to select individuals who bring their personality, energy and expertise in all areas of Hospitality Management including: local tours and activities, registration support, transportation management, logistics and special events.

Within this role, Staff will be expected to provide a superior level of personalized service and attention to detail. Specific tasks include airport arrival meet & greet, hotel departures, ground transportation and dispatch, hotel logistics, supervision of groups participating in activities and on tours or when accompanying guests for group dine-arounds.

Our Hospitality Staff receives competitive hourly rates. This is a seasonal, independent position with potential for growth within the company based on individual performance and opportunity.

Multilingual language skills are a PLUS.
